How to create a day that feels calm, intentional, and fully captured


One of the biggest things that shapes how your wedding day feels—and how your photos and videos turn out—is your timeline!


A well-built timeline doesn’t just keep things organized. It gives you space to breathe, to be present, and to actually enjoy what’s happening… while still capturing everything that matters.


To give you a clear picture, this example is based on a 4:00 PM ceremony—you can adjust everything earlier or later depending on your day!

Getting Ready (12:00–1:30 PM)


This part of the day sets the tone for everything that follows.


Ideal flow:


  • 12:00 PM — Photo + video arrive
  • Drone footage of the venue and surrounding scenery (when weather and location allow)
  • Florals delivered and placed in the correct getting ready locations
  • Details photographed (dress, shoes, rings, invitations, florals)
  • Final hair & makeup moments
  • Candid moments with your people
  • 1:00 PM — Getting dressed


To keep everything running smoothly:


  • Hair & makeup should be fully finished by 12:30 PM so there’s time for final touches and getting dressed without rushing
  • Ask your florist to include one extra small bouquet for detail photos (this makes a huge difference in your flat lays)


At the same time, both sides are being covered—so nothing is missed.

Individual-Side Portraits (1:30–2:00 PM)


These portraits take place before you see each other, on separate sides of the venue. This part of the timeline creates a calm, organized flow to the day while allowing us to capture many of your most important portraits before the ceremony begins.


During this time, Rachel is with the bride while Mark is with the groom, so both sides are photographed simultaneously.


Also, we may start with a few personal, meaningful moments:


  • 1:30 PM — Bride + dad (or parent)
  • 1:35 PM — Groom + mom (or parent)


From there:


Bride’s Side

  • Bride solo portraits
  • Bride + parents
  • Bride + immediate family
  • Bride + bridesmaids
  • Bride + flower girls


Groom’s Side

  • Groom solo portraits
  • Groom + parents
  • Groom + immediate family
  • Groom + groomsmen
  • Groom + ring bearers


By the end of this portion of the timeline, many of your core portraits are already complete, allowing the rest of the day to feel much more relaxed and present.

First Looks + Portraits (2:00–3:30 PM)


This is where everything really begins to come together.


If you’re doing a couple’s first look:


  • 2:30 PM — Couple’s first look
  • Couple portraits
  • Wedding party photos
  • Family photos


If you’re not doing a couple’s first look:


  • This time can be used for additional dancing photos at the end of the night, and we can start coverage later
  • Family photos + wedding party will take place after the ceremony


Family photos are some of the most meaningful images from your day. To keep this part smooth and stress-free, you’ll want to provide a clear family photo list ahead of time so we can move efficiently, make sure no one is missed, and count up the time for each portrait in the timeline.

Pre-Ceremony (3:30–4:00 PM)


This is your built-in breathing room.


  • Guests begin arriving
  • Ceremony space is documented
  • Final touches and audio setup
  • A quiet reset moment before walking down the aisle

Ceremony (4:00–4:30 PM)


This is one of the most meaningful parts of your day—and it deserves to unfold naturally.


We’re capturing:


  • The processional
  • The ceremony itself (vows, ring exchange, first kiss)
  • The recessional
  • A quick dip kiss during the recessional if you’d like one

Post-Ceremony Portraits (4:30 to 4:50 PM if you did a couple's 1st look; 4:30–5:25 PM if not)


Right after the ceremony, what happens next depends on whether or not you’ve already done a first look:


If you did a couple's first look (20 minutes):


  • Couple + Officiant (3 minutes)
  • Couple at the Arch (3 minutes)
  • Couple's with Bride’s Extended Family (5 minutes)
  • Couple with Groom’s Extended Family (5 minutes)


Because most portraits were completed earlier, this portion is quick and efficient—so you can join cocktail hour and actually be present with your guests and each other.


If you didn’t do a first look (55 minutes):


  • A few couple's portraits
  • Family photos
  • Wedding party photos

Private Time (5:15–5:25 PM) + Bride's Bustling (5:25–5:30 PM)


This is something I always recommend if you did a couple's first look.


Right after portraits and before the reception begins:

  • Step away together
  • No guests, no timeline
  • Just the two of you

Reception Begins (5:30 PM)


From here, your day shifts into celebration.


A typical flow might look like:


  • 5:30 PM — Grand entrance
  • Couple’s first dance
  • Dinner begins
  • 6:30 PM — Speeches
  • Parent dances
  • Cake cutting
  • Open dancing


We’re capturing both the big moments and everything in between—the people, the laughter, and the interactions you didn’t even see.


Coverage note:

If your coverage begins at 12:00 PM:


  • 8 hours of coverage ends at 8:00 PM
  • 10 hours of coverage ends at 10:00 PM


Even a short window of open dancing allows for plenty of energy-filled moments to be captured, while extended coverage creates space for a fuller evening—like a grand exit or more time on the dance floor.

Golden Hour Portraits


At some point, usually during your reception, we’ll step away for 15 minutes or so for sunset portraits.


We typically do this about 1 hour before sunset so we have plenty of time to work with the light and don’t risk the sun disappearing.


This timing will vary depending on the time of year and your specific wedding day timeline, but it allows for a relaxed, natural experience while capturing some of the most timeless images of your day.

What Actually Makes a Timeline Work


It’s not about packing in more.


It’s about:


  • Building in margin so nothing feels rushed
  • Creating space for real moments
  • Letting parts of the day breathe


The best timelines don’t feel like a checklist.

They feel like a day you actually got to experience!
